Terms & Conditions

Article 1. Rental Period

  1. Renter will use the Rented Vehicle only for personal or routine business use, and operate the Rented Vehicle only on properly maintained roads and parking lots.
    Renter will comply with all applicable laws relating to holding of licensure to operate the vehicle, and pertaining to operation of motor vehicles.
    Renter will not sublease the Rental Vehicle or use it as a Vehicle for hire.
  2. Renter must provide proof of insurance that covers damage to the Rental Vehicle at the time this Car Rental Agreement is signed, including personal injury coverage for Renter’s passengers, other persons, or property.
  3. Renter agrees to indemnify, defend, and hold harmless the Owner for any loss, damage, or legal actions against Owner as a result of Renter’s operation or use of the Rented Vehicle during the term of this Car Rental Agreement, including any attorney fees.
  4. Renter will pay for any parking tickets, moving violations, or other citations received while in possession of the Rented Vehicle.
  5. If the driver’s license has expired or will expire during the rental period, renting the vehicle is strictly prohibited.
  6. Local clients must rent a minimum of 3 days. If renting for only 1 or 2 days, a $10 extra per day will be charged.
  7. If the client loses or damages the car key, a fee starting at $150 will be charged depending on the agency’s rate.
  8. It’s mandatory to record the client’s email and phone number for emergency contact.

Article 2. After Office Hours

  1. Airport Location: Allows returns after hours with specified procedures. Check with rental location upon pickup for exact procedure and drop box location.
  2. Non-Airport Location: The car cannot be returned after office hours.
  3. Responsibility for damage or loss of the car continues until actual possession is retaken and charges will continue.

Article 3. Drivers

  1. The renter must be at least 24 years old and possess a valid driver’s license for at least 1 year. Renters of 23 or 24 years can rent a car with a surcharge.
  2. Additional Drivers: A charge applies, and conditions are the same as for the renter. Only authorized additional drivers are allowed to drive.

Article 4. Fuel

  1. The vehicle must be returned with the same fuel level. Charges apply for discrepancies, and no refunds on fuel are made. Incorrect fuel usage may lead to repair and towing costs.

Article 5. Valuables in the Vehicle

  1. Do not leave valuables in the vehicle; place items in the trunk if necessary. UNITED CAR RENT is not responsible for theft or loss. Security measures include an alarm system with a mandatory security charge.

Article 6. In Case of an Accident, Joyriding, or Theft

  1. In case of an accident, call Forensys/CRS immediately as required by insurance companies.
  2. Contact 24-7 Roadside assistance for vehicle damage; towing and repair costs may apply.
  3. Damage reports must be signed within 24 hours, and the vehicle inspected by UNITED CAR RENT’s claims department.
  4. For theft or joyriding, notify the police immediately. An official report is required; otherwise, renter assumes full responsibility.

Article 7. Flat Tire

  1. A spare tire is provided. The renter is responsible for replacing and covering costs for a flat tire.

Article 8. Car Keys

  1. Contact 24-7 Roadside assistance for lockout or lost keys; costs depend on vehicle type and will be charged to the renter.

Article 9. Cleaning Costs

  1. Excessive dirt or stains in the vehicle will result in additional cleaning charges.

Article 10. No Smoking

  1. Smoking is prohibited in vehicles. Cleaning charges apply if the vehicle smells of smoke upon return.

Article 11. Refunds

  1. No refunds for unused vouchers, gas, or early vehicle return.

At United Car Rental B.V., we understand that plans can change. Below are the terms and conditions for cancellations, including specific policies for peak holiday seasons:
  1. Free Cancellation
    • Reservations canceled up to 48 hours before the start of the rental will incur no fee.

  1. Cancellation Between 48 and 24 Hours
    • For cancellations made between 48 and 24 hours before the rental start time, a fee of €75 will apply.

  1. Cancellation Less Than 24 Hours Before
    • Cancellations made less than 24 hours prior to the rental start time will incur a fee of €150.
    • Failing to cancel (no-show) will result in the loss of the full prepaid amount.

  1. Special Policy for Peak Seasons
    • During the following peak holiday periods, no refunds will be provided for cancellations, regardless of the notice period:
      • December 24 to January 2 (Christmas and New Year’s holidays).
      • February 20 to March 4, 2025 (Carnival season).
